Andorra Snow Summit 2027: Terms and Conditions

These Terms and Conditions govern participation in the Andorra Snow Summit 2027 (the "Event"), organized by the Harbour.Space Institute of Technology Events Team (the "Organizers"). By registering and paying for the Event, all participants ("Participants") agree to comply with the following terms.

Event Overview

  • Dates: January 28 – February 1, 2027

  • Location: Encamp, Andorra

  • Hotel: Hotel Guillem, Encamp

  • Departure Point: Harbour.Space Institute of Technology, Carrer de Rosa Sensat 9–11, 08005, Barcelona

Definitions

  • HS Members: Current students, alumni, staff, and faculty of the Harbour.Space Institute of Technology.

  • Guests: Individuals who are not HS Members but attend the event as companions or invitees of HS Members.

Included Services

The Event package includes:

  • Accommodation (4 nights with breakfast)

  • Three-day ski pass

  • Bronze-tier ski/snowboard equipment rental (optional if bringing your own)

  • On-slope accident insurance

  • Round-trip private transportation from Barcelona to Andorra

Travel insurance, meals (other than breakfast), and personal expenses are not included.

Equipment and Safety

  • Helmets are mandatory for all on-slope activities.

  • Participants may bring their own ski/snowboard equipment; in such cases, a rental fee deduction will apply if communicated in advance.

  • Equipment upgrades are available at the rental shop at the participant's expense.

  • Participants must follow all safety rules and instructions from instructors and organizers.

Behavior and Conduct

  • Participants are expected to act respectfully toward all other attendees, hotel staff, instructors, and the local community.

  • Disruptive, disrespectful, or unsafe behavior may result in immediate removal from the event without refund.

  • Alcohol consumption must be responsible. The use or possession of illegal substances is strictly prohibited.

Personal Responsibility

  • Participants are responsible for their personal belongings, safety, and actions throughout the event.

  • Organizers are not liable for loss, theft, or damage to personal items.

  • All participants must comply with hotel rules, ski resort regulations, and local laws.

Refund Policy

  • Full refund for cancellations made at least 30 days before the event (by December 29, 2026).

  • 50% refund for cancellations made between 29 and 15 days before the event (by January 13, 2027).

  • No refund for cancellations made after January 13, 2027, or in the case of no-shows.

Refunds will be processed within 14 days after the cancellation request.

Event Cancellation or Modification

  • The Organizers reserve the right to modify, postpone, or cancel the event due to unforeseen circumstances, including but not limited to:

    • Adverse weather conditions

    • Transportation disruptions

    • Safety risks or health emergencies

  • In such cases, participants will be offered a partial refund or credit toward a rescheduled event.

The Organizers are not liable for additional expenses incurred due to such changes (e.g., visa costs, or personal travel arrangements).

Travel and Visa Requirements

  • Each participant is solely responsible for ensuring they have valid travel documents and visas permitting entry to Andorra.

  • The Organizers and the Harbour.Space Institute of Technology assume no responsibility for denied entry or visa issues.

Insurance

  • On-slope accident insurance is included in the package.

  • Travel insurance is not included and is strongly recommended for coverage of medical emergencies, trip cancellations, or other travel-related risks.

Liability Waiver

By participating in the Event, each Participant acknowledges and agrees that:

  • Skiing, snowboarding, and related winter activities involve inherent risks.

  • The Organizers are not responsible for personal injury, loss, or damage arising from participation in these activities.

  • Participants assume all risks and agree to hold the Organizers harmless against any claims resulting from their participation.

Photography and Media Consent

By attending the Event, Participants consent to being photographed or filmed for promotional or archival purposes. Participants who wish not to appear in photos or videos must notify the Organizers in writing before the start of the event.

Privacy Policy

Personal data collected during registration will be used solely for event organization and communication purposes. Data will not be shared with third parties except as necessary for accommodation, transportation, or insurance arrangements.
